Why should I use an Event Production company?
This question will have been asked so many times…
Sometimes it’s the small things that make the big difference. Forget one single light and it could leave your entire presentation in darkness. What is the message your trying to get accross? Are you launching a product or delivering a seminar? Different events will have different requirements.
This is where an event production company comes in. Our job is to take the ownership for the technical production side of your event. As an event manager you may have already sourced the location, promoted the event to potential clients and you are now at the stage of ensuring all the numbers match up… the last thing you need is to have to worry about how many microphones you need or what lighting looks better. This is the point where your production company, or production partners, take over.
If you haven’t already done so you would be looking at a site visit with the production company to give them an idea of what they have got to work with, how big a space and what you can see in your vision. You will have sent off the presentations and any visuals that you want in the event and should be starting to relax, knowing the production is in safe hands.
The production company will then start to put together a package based on what you have given them, ideas you may have and concepts you may have discussed at the site visit. There are now a couple of options; depending how elaborate your event may be will depend on what happens next…
- If your event is relatively straight forward it may just be a case of the production team turn up on the morning, or night before, and do a “get in”. You or your client then gets a chance to do a technical run. This gives the production team an opportuinty to ensure that everything is cued as it should be, and if anything needs changing then this can also be done, therefore reducing the risk of any issues during the course of the event.
- If your event consists of a complex stage design with 100’s of lighting fixtures and video walls then it may be an idea to have a 3D, visual representation of the event before committing to anything. This way you can see and change things to suit both your vision and budget.
From either of these two options the production company can give you a price and you don’t have to worry about anything on the technical side. The day of the event can be stressful enough without you having to worry about PA systems working or how to dim the lights down. The production team will turn up with all the equipment and crew, carry out the “get in” and “build” and then be ready for the presenters to arrive. All you have to do then is make sure your guests turn up.
